Microsoft 365 is the backbone of email, collaboration, and productivity for most SMBs and mid-market companies - but getting the tenant configured correctly, licenses assigned properly, and users actually productive takes expertise most IT teams don't have in-house. A Microsoft 365 consultant handles the setup, migration, security hardening, and ongoing management so your staff can work without worrying about the plumbing.
Microsoft 365 Consulting - By the Numbers
- Microsoft reported 345 million paid M365 seats as of Q3 2025
- Business licenses range from $12.50 to $22 per user/month (Business Basic to Business Premium)
- A typical M365 tenant migration and setup project runs $8,000 to $40,000 depending on seat count and complexity
- More than 40% of SMBs still run email on-premises and are actively planning a move to Exchange Online
- 442 companies in this directory list Microsoft 365 as a core specialization - the largest category in the catalog
- Microsoft's own data shows Teams has 320 million monthly active users as of 2024
What Microsoft 365 Consultants Do
Tenant Setup and Email Migration
The foundation of any M365 engagement. Consultants configure DNS, provision mailboxes, set up connectors, and migrate from on-premises Exchange or third-party mail systems to Exchange Online. Proper cutover planning is critical - a poorly planned migration means hours of email downtime and user chaos.
Teams Phone System
Replacing a legacy PBX with Teams Phone requires choosing between Direct Routing (bring your own SIP trunk) and Operator Connect (carrier-managed). Consultants configure dial plans, auto attendants, call queues, and emergency calling. This is a specialized skill - not every M365 generalist has done it.
SharePoint Online Architecture
SharePoint Online is included in most M365 licenses but rarely deployed well without planning. Consultants design site hierarchy, content types, metadata schemas, and permissions structure - and migrate existing file shares or legacy SharePoint environments.
Intune MDM and MAM
Microsoft Intune (part of Business Premium and above) manages company devices and apps. Consultants configure device compliance policies, conditional access rules, app protection policies, and autopilot enrollment to enforce security without managing every device manually.
Azure AD / Entra ID and Identity
Microsoft rebranded Azure Active Directory to Entra ID in 2023. Consultants set up hybrid identity (AD Connect), configure SSO for third-party apps, implement MFA and passwordless authentication, and manage conditional access policies.
Defender for Business and Compliance
Microsoft 365 Business Premium includes Defender for Business. Consultants configure anti-phishing policies, safe links, safe attachments, and endpoint detection. On the compliance side: DLP policies, eDiscovery, sensitivity labels, and retention policies for regulated industries.
Power Automate and Power Apps
Automation and lightweight internal apps built on the Power Platform. Consultants build approval workflows, automate repetitive data entry, and create no-code/low-code apps that replace spreadsheets or legacy line-of-business tools.
Backup Strategy
Microsoft does not provide point-in-time backup for Exchange Online, SharePoint, or OneDrive. Retention policies are not a substitute. Consultants typically recommend and configure third-party backup solutions - Veeam for Microsoft 365, Datto SaaS Protection, and Acronis are common choices.
Microsoft 365 Consulting Costs and Pricing
- Email migration: $25 to $100 per seat, depending on mailbox size, cutover complexity, and whether public folders or shared mailboxes are involved
- Tenant setup (greenfield): $3,000 to $15,000 for a complete new tenant - DNS, security defaults, conditional access, Teams, SharePoint, Intune baseline
- Full migration project (Exchange on-prem to Exchange Online): $8,000 to $40,000 for 50-500 seats
- Teams Phone System implementation: $15 to $40 per user/month (phone licenses) plus $5,000 to $20,000 implementation fee
- Ongoing managed M365 administration: $500 to $3,000 per month for monitoring, user management, license management, and helpdesk escalations
- Power Automate / Power Apps development: $3,000 to $15,000 per workflow or app depending on complexity
How to Choose a Microsoft 365 Partner
- Verify Microsoft Solutions Partner status. Look for "Microsoft Solutions Partner for Modern Work" - this is Microsoft's current partner tier that replaced Gold/Silver in 2022. It requires passing assessments and maintaining customer success metrics. A company claiming M365 expertise without this designation is unvalidated.
- Ask about hybrid environment experience. If you have on-premises Active Directory, file servers, or an existing Exchange organization, the migration is significantly more complex than a greenfield deployment. Confirm the partner has handled hybrid scenarios at your scale.
- Test their licensing knowledge. Ask about NCE (New Commerce Experience) vs. legacy CSP licensing, the differences between Business and Enterprise license families, and add-on options like Defender for Office 365 Plan 2. If they can't explain the tradeoffs clearly, their recommendations will be based on incomplete information.
- Ask specifically about backup. Microsoft does not provide point-in-time backup. Any partner who says "you're covered because it's in the cloud" without discussing a third-party backup solution does not have your data protection interests in mind.
- Check their Teams Phone track record separately. Teams Phone is a distinct discipline from general M365 administration. If phone system replacement is on your list, ask for references from clients who completed that specifically.
Microsoft 365 - Frequently Asked Questions
What is the difference between Microsoft 365 and Office 365? ▾
Microsoft rebranded Office 365 to Microsoft 365 in April 2020 for consumer plans, and rolled out the rename to business plans through 2022. The core apps (Word, Excel, Outlook, Teams, SharePoint) are the same. Microsoft 365 Business Premium added Intune device management and Defender for Business on top of what was Office 365 Business Premium. If you see a partner still referring exclusively to "Office 365" without context, it is a minor signal that their materials are dated - though many clients and even Microsoft documentation still use the terms interchangeably.
Do I need a third-party backup if my data is already in Microsoft's cloud? ▾
Yes. Microsoft's shared responsibility model makes this explicit: Microsoft protects infrastructure availability, but data protection is your responsibility. Exchange Online retains deleted items for 14 to 30 days depending on settings. SharePoint and OneDrive keep version history and a recycle bin. But none of these are point-in-time backups. If ransomware encrypts your OneDrive files and syncs before you notice, or an admin accidentally deletes a SharePoint site, your recovery window is limited. Solutions like Veeam for Microsoft 365, Datto SaaS Protection, or Acronis Cloud Backup address this gap with true daily backups and granular restores.
How do you migrate email to Exchange Online without downtime? ▾
The standard approach for organizations with 150 or fewer mailboxes is a cutover migration: pre-stage mailbox data to Exchange Online over several days, then schedule a weekend cutover window where MX records are updated and users switch to the new system. The actual downtime during the MX change is typically under an hour. For larger organizations, a hybrid migration keeps both systems running simultaneously, moving mailboxes in batches over weeks or months, with users transparently redirected. The key is pre-staging - migrating the bulk of data before the cutover window so the final sync is small and fast.
We already use Zoom - do we still need Microsoft Teams? ▾
Teams and Zoom serve overlapping but not identical purposes. Teams is primarily a persistent chat and collaboration hub with video as one feature; Zoom is primarily a video meeting platform. Most organizations using M365 end up using Teams for internal chat and file collaboration regardless of whether they keep Zoom for external meetings. Running both is common and Microsoft supports Zoom integration in Teams. The question worth asking is whether you are paying for Zoom seats that overlap with Teams capabilities you already own - for many SMBs, Teams Meetings replaces Zoom entirely once users are trained on it.
Microsoft 365 vs Google Workspace - which is better for a small business? ▾
The honest answer depends on what your team already knows and what software you use. Microsoft 365 is the stronger choice if your business relies on Excel for complex spreadsheets, Word documents with heavy formatting, or any Windows-native line-of-business applications. It has a larger partner ecosystem and stronger compliance tooling for regulated industries. Google Workspace is simpler to administer, has better real-time multi-user collaboration in Docs and Sheets, and tends to be preferred by organizations in tech, education, or those already deep in the Google ecosystem. Price difference is minor at the mid-tier: M365 Business Standard is $12.50/user/month vs Google Workspace Business Starter at $6/user/month - but Business Standard includes desktop Office apps, which Starter does not.
